Playbooks Alternative

The program, the board, and the record. One system.

Playbooks plans your spray and fertility programs, then stops. Its own website says it works with third-party labor software, and names taskTracker as the partner. So the chemistry is one subscription, the morning board is a second, and the compliance extras are a third line on the bill. TurfCaddie is all of it for $2,195 a year.

Where Playbooks is strong

Playbooks knows chemistry. Its managed database carries more than 15,000 products, kept current by their team, with FRAC, IRAC, and HRAC resistance flags on the products. That is real agronomic depth. Program planning is what it was built for, and over 1,000 clients run it, multi-course agronomy teams included.

Pro adds two-way sync to GPS sprayers, which is a genuine capability. And if chemical records are the only thing you need to fix, Core at $795 a year is a cheap entry. We are not going to talk you out of respecting any of that.

But read their coverage page all the way down. The compliance services are a paid ladder on top of either tier: managed SDS at $650 more a year, automated SDS and labels at $995, full compliance automation at $1,495. And there is no job board at any price. The plan still has to become the morning's work in some other system. That is the gap.

In the Order You Buy

What a superintendent checks first, in order

This is the order these decisions get made in the shop, so this is the order we answer them in.

1. When the inspector walks in. Start where he starts. In TurfCaddie, the full WPS field set is in the base product: product and EPA registration number, rate, area treated, target pest, applicator, weather at application, REI, PPE, printed on a one-page sheet with active ingredient and nutrients computed from guaranteed analysis. In Playbooks, the compliance services are a ladder: $650, $995, or $1,495 a year on top of Core or Pro. Put Pro together with the top rung and you are at $2,790 a year, and you still do not own a job board.

2. Whether the crew will use it. A program nobody executes is a shopping list. In TurfCaddie the planned application lands on the morning board, the crew sees it on the shop TV and on their phones, and the record is written when the work is logged. One system to learn, from the 5 AM lineup to the inspector's visit, run daily by a 16-person crew at the founder's club in New Jersey.

3. Logging it where it happened. Log the application where it happened, off the sprayer, with the weather captured at entry instead of typed in later from memory. The product deducts from inventory automatically, so the shelf count and the record agree at the end of the day without a second round of data entry.

4. The board the plan lands on. There is no board in Playbooks at any tier; their site points you to third-party labor software for that, by name. TurfCaddie's board is the front door of the product: drag-and-drop assignments, mow patterns, daily notes, and one tap to cast it to the shop TV.

5. Whose data it is. Your application history is your baseline for next year's program and your first piece of evidence in a drift complaint. It exports when you want it, and it leaves with you if you leave. Two years of records at minimum, kept searchable, not held hostage.

6. What it costs, all in. Playbooks publishes its prices, and we respect that. Read the whole page, though: $300 setup, $795 a year for Core or $1,295 for Pro, then the compliance add-ons on top. TurfCaddie is $2,195 a year per facility, unlimited users, every feature included, $495 one-time setup waived for Founding 50 courses. One line in the fall budget. No ladder.

7. Who answers. When you email TurfCaddie support, you reach people who know the work, and the founder, a working superintendent, does your setup with you. Your programs, inventory, fleet, and shop TV are built into the workspace before your crew ever logs in.

8. The report for the committee. Season history on one calendar, fertility totals by area, water tracked against your allocation caps, rainfall logged so a rain day never reads as a watering day. That is the packet you hand a greens committee when the chemical budget gets questioned.

The Math

Read the whole price page. Then read ours.

Playbooks posts a fair headline. The total depends on which rungs of the compliance ladder your operation needs, and the morning board is still a separate purchase at a price that vendor will not publish.

Playbooks Core$795/yr + $300 setup

FAQ

Switching from Playbooks, answered straight.

The questions superintendents actually ask before they switch.

Does TurfCaddie satisfy my state's spray record requirements?

Yes, and compliance is in the base product, not sold as an add-on. Every application prints as a one-page spray sheet carrying the WPS fields: product and EPA registration number, rate and totals, area treated, target pest, applicator, weather at application, REI, and PPE, with active ingredient applied and nutrients delivered computed from each product's guaranteed analysis. TurfCaddie was built and is used in New Jersey under NJDEP rules, and the field set covers the common core that New Jersey, Pennsylvania, Delaware, and New York build on.

We run Playbooks for our programs. What changes if we switch?

Your programs move onto the spray calendar and roll forward, and each planned application lands on the morning board instead of living in a separate plan. When the work is logged, the record writes itself from the application and the product deducts from inventory. Migration is part of the $495 setup, waived for Founding 50 courses, and the founder builds the workspace with you. Most courses are fully operational within two weeks.

Where do spreadsheets and paper still run my chemical program?

In most shops, right where the plan ends. The program gets built in one tool, then it is printed, carried, retyped into a log, and filed in a binder for the inspector, while the shelf count lives on a clipboard. Every copy is a chance for the record and the plan to disagree. In TurfCaddie the program, the application, the printed spray sheet, and the inventory count are the same record: log the application once and the sheet prints, the history saves, and the product comes off the shelf.

If it could remove one headache tomorrow, what would it be?

The gap between the plan and the record. A program you built in January still has to become a legal record in July, and with separate tools that means doing the work twice. Here the planned application rolls forward on the spray calendar, lands on the morning board to be executed, and logging it writes the inspection-ready record. Plan it once. The system carries it the rest of the way.

What does it really cost, all in?

Playbooks: $300 setup, then $795 a year for Core or $1,295 for Pro, plus $650 to $1,495 a year if you take the compliance services, and a board product on top of that, since Playbooks has none. TurfCaddie: $2,195 a year per facility, unlimited users, every feature included, and a $495 one-time setup. That is the whole quote. There is no second page of add-ons.

What if I only need chemical records?

Then buy the cheaper tool and be at peace with it. SPaRKS logs applications for $299 a year, and Playbooks Core plans programs for $795. TurfCaddie earns its price when the records are one piece of a bigger morning: board, crew, fleet, water, and compliance in one system. If your operation has outgrown records-only software, that is the conversation worth having.
